1. The Contract

The Contract for a short‑term holiday rental will be between the Owners of Mill Farm Eco Barns (“we”, “us”) and the person making the booking and all members of the holiday party (“you”, “your”, “guests”). English law governs the Contract.

The person making the booking (“Responsible Person”) must be at least 18 years old, must stay at the property for the duration of the booking, and agrees to ensure that all members of the party comply with these Terms and Conditions. The Responsible Person is liable for any damage, nuisance or breach of these conditions by any member of the party.

A Contract only arises when your booking is confirmed by email. These conditions are deemed accepted when the booking form is completed or any payment is made.

2. Payment

Bookings are confirmed on receipt of the booking form and a deposit of 35% of the holiday cost. The balance is due 60 days before arrival. If payment is not received by this date, we reserve the right to cancel the booking.

Bookings made within 60 days of arrival must be paid in full. No entry to the property will be permitted until full payment has cleared.

3. Cancellation

Cancellations must be notified to us immediately by email.

Government Order / Change in Law

If your stay must be cancelled due to a legally binding Government Order or Change in Law (for example Covid‑related restrictions), you may choose a full refund or a rescheduled stay. Weather‑related travel advice does not qualify for a refund.

Illness

We are unable to offer refunds or date changes due to illness. Guests are strongly advised to have suitable travel insurance that covers illness, including Covid‑related illness or the need to self‑isolate.

Standard Cancellation Terms

If you cancel your booking:

We will attempt to re‑let the dates.
If successful, we will refund the amount achieved from the replacement booking (which may be lower than your original payment) minus a £45 administration fee.
If we are unable to re‑let the dates, no refund will be given.

If Mill Farm Eco Barns must cancel

If we must cancel your booking due to circumstances beyond our control (e.g. fire, flood, property damage), our liability is limited to returning all payments made. No additional compensation is payable.

4. Liability

As far as the law allows, Mill Farm Eco Barns, its employees and representatives shall not be liable for loss, damage or injury to you, your party, vehicles or property.

We cannot accept liability for events outside our reasonable control, including breakdown of domestic appliances, plumbing, broadband, temporary pests, neighbouring works, or exceptional weather.

No refunds or compensation will be provided for temporary loss of amenity (e.g. heating, hot water, broadband) where reasonable steps have been taken to resolve the issue.

You indemnify us against any loss, damage or injury arising from any breach of these conditions or the actions of any member of your party.

5. Smoking

Smoking or vaping is not permitted inside any property or in the games barn. Tampering with smoke, heat or CO detectors is strictly prohibited. Costs of de‑fumigation may be charged.

6. Supervision of Children

Children under 14 must be supervised at all times when crossing the farm track, playing in the paddocks or using the games room. Children must not enter the paddock with the pond.

7. Right of Entry

We reserve the right of reasonable access to the property at any time for inspection, maintenance or repairs, while aiming to minimise disruption.

8. Accuracy of Details

We make every effort to ensure accuracy of descriptions and images, but facilities and services may change. Website descriptions do not form part of the Contract.

9. Terms of Use

You may access the property from 16:00 on the day of arrival. Departure is 10:00 on the final day. Earlier arrivals or later departures are by prior agreement only.

You must leave the property clean and tidy, including:

Washing up
Emptying the dishwasher
Placing rubbish in outside bins
Cleaning ovens and BBQs

A charge of up to £200 may be applied for excessive cleaning.

The property is let solely for holiday use. Causing nuisance or disturbance to neighbours may result in you being required to leave without refund.

10. Number of Persons

The maximum occupancy stated on our website must not be exceeded. Additional visitors are not permitted without prior agreement. Mill Farm is not a party venue.

11. Care of the Property

You are responsible for the property and must take reasonable care of furniture, fittings and effects. These must be left in the same clean and tidy condition as at the start of your stay.

You must secure the property when left unoccupied and must not use it for dangerous, offensive, noisy or illegal activities.

12. Damages & Breakages

Threshing Barn bookings require a £200 pre‑authorisation on your card, released after departure if no damage is found. We will contact you with photographic evidence if any damage is identified.

We reserve the right to charge for damage, breakages or exceptional cleaning. You are legally obliged to reimburse us for replacement, repair or cleaning costs.

Lost keys will be replaced at cost.

13. Internet Access

Internet access is provided for reasonable and lawful use only. Speed and availability cannot be guaranteed.

14. EV Charging

EV charging is permitted only using the dedicated EV chargers provided. Charging is a £40 or £25 flat fee per car per stay, depending on the length of stay.

The use of extension cables, domestic “granny chargers”, or any charging from internal sockets is strictly prohibited due to fire risk.

We reserve the right to inspect charging arrangements without notice. You are liable for any damage or loss resulting from unauthorised charging.

15. Pets

We allow dogs only, and only when they have been booked in advance. Maximum:

Threshing Barn: 3 dogs
Grain Barn: 3 dogs
Hay Barn: 2 dogs (Additional dogs by prior agreement.)

Dogs must be house‑trained, kept under proper control, and not allowed on furniture or beds. Dogs must not be left unattended in the property unless agreed with us in advance.

Dog hairs must be removed before departure. Any damage or extra cleaning caused by dogs will be charged. Puppies are not allowed without prior agreement. We do not permit entry to cats.

When walking within the property grounds and tracks, please clean up after your dog. Dog owners are responsible for any damage caused to the property, contents or garden, and for any extra cleaning required.

16. Complaints

If you have any problem, you must notify us immediately so we can resolve it. We are on site and will always do our best.

Complaints raised only after departure cannot be considered and no refunds or compensation will be made.

17. General

If any clause is found invalid by law, the remainder of the agreement remains in force.
